Apple Mail and Gmail: archiving, duplicates and labels

Updated October 2026

Gmail has labels, not folders, and Apple Mail sees every label as a folder. So a message with three labels shows up in three mailboxes, and Archive only works when Apple Mail's Archive Mailbox points at Gmail's All Mail. Check that in Mail › Settings › Accounts › Mailbox Behaviors, hide the labels you don't need in Gmail's settings, and let Gmail, not Mail, keep your sent mail.

Why it happens

In Gmail, every message lives in one place, All Mail, and labels are tags on it. Inbox is a label too, so archiving in Gmail just removes it. Mail apps that use IMAP, the standard way of reading mail, don't know about tags, so Google shows each label as a folder. Apple Mail is built around one message in one mailbox, and that's where the trouble starts.

Make Archive work

  1. In Mail, choose Mail › Settings, then click Accounts and select your Gmail account.
  2. Click Mailbox Behaviors. Next to Archive Mailbox, choose All Mail, under your Gmail account.
  3. If archived mail keeps coming back to the Inbox, remove the account and add it again. That's the fix Mac users report working in this Apple Community thread.

To get Archive instead of Trash when you swipe or use a notification, go to Mail › Settings › Viewing and set “Move discarded messages into” to Archive. Apple notes that archiving a conversation archives only the messages in the mailbox you're in, not related ones elsewhere.

Fewer duplicates

Deleting

Where a deleted message goes depends on Mail › Settings › Accounts › Mailbox Behaviors › Trash Mailbox. When it points at Gmail's Trash, Delete moves the message there, and Gmail deletes it for good after 30 days. When deleted messages aren't moved to Trash, Gmail keeps them in All Mail, like an archive. Google recommends the second, so nothing gets lost by accident.

Google's recommended settings, in short

A mail app that speaks Gmail

We make Lambda Mail, a Gmail app for Mac. It uses the same IMAP connection, plus the extensions Gmail adds to it so an app can see labels and conversations the way Gmail does. There's nothing to set up:

Lambda Mail works with Gmail and Google Workspace on macOS 14 and later, and the beta is free.
